Tips for Planning a Successful Tradeshow
Timelines (Guidelines/Approximately):
One Year (Or More) Prior to the Show
- Budget, budget, budget – this is key in deciding on booth fees, venue selection, etc.
- Plan the type/style of tradeshow that you want, and what the goal of your show is. This will help in directing your advertising at specific vendors and deciding what demographic you’re catering to with the show.
- Book Your Venue
- Create the Vendor Registration Forms/Contracts
- Create the floor plan, taking into consideration booth size, available drape/tables, lighting, etc. and how many booths you’re hoping to attract
6-9 Months Prior to Show
- Look for event sponsors (if needed)
- Develop your Marketing Plan. Usually this will include pre-during-post materials
- Advertise for Vendors
- Order signage and print materials
- Order any promotions and giveaways that you’re planning to do at the show
- Book your event rentals (That’s Us)! Drape, skirted tables, chairs, etc.
3-6 Months Prior to Show
- Hire staff for your event
- Ensure any insurance or legal items are in place
- Confirm delivery dates of any freight coming for the show
Final Month
- Finalize all details with your venue, decor rentals, AV requirements, vendors, sponsors, etc.
- Final push for advertising
- Ensure all print/marketing materials are ready to go
- Ensure all travel/shipping arrangements are in place
- Confirm all prizes/giveaways are in hand and ready or will be at the show
- Finalize staff schedules
Have a great show! Don’t forget when your show is over to send thank-yous to all vendors and sponsors!
